This policy explains what Agentic Services collects when you visit rndwn.app or use Rundown, and what we do with it. The short version: we collect what we need to run the service, we do not sell personal information, and we do not use your data to train AI models.
Two kinds of data
Account data is information about you as our customer: your name, email, company, billing details and how you use the product. We are the controller of this data.
Customer data is what you and your team put into Rundown about your own clients and jobs: contacts, addresses, messages, photos, estimates, invoices. You control this data, and we process it on your behalf under the data processing addendum. If you are a client of a business that uses Rundown, please contact that business with any request about your information.
What we collect
- Information you give us: name, email, phone number, company details, team members you invite, and billing information. Card details go directly to Stripe.
- Customer data you enter, import or receive through the service.
- Usage and device information: pages and features used, browser type, IP address, and error reports.
- Cookies: those needed to keep you signed in and to remember preferences, plus product analytics. We do not use advertising cookies.
How we use it
- To provide, secure and support the service.
- To bill you and to meter usage such as SMS segments.
- To send service notices and, if you agree, product updates. You can unsubscribe from updates in one click.
- To understand how the product is used so we can improve it.
- To meet legal obligations and enforce our terms.
AI features
Some features send text to an AI model provider to parse or draft content. We send only the fields needed for the task and never payment card data. Our provider is not permitted to train models on this data, and neither do we. You can turn off any AI feature for your organization.
Who we share it with
We do not sell personal information. We share it only with the service providers below, who process it under contract to deliver the service, and when the law requires it.
- Clerk: sign-in, organizations, sessions and MFA.
- Convex: application database, file storage and server functions.
- Stripe: subscription billing and Connect payments.
- Twilio: sMS delivery and phone numbers.
- Resend: transactional and automation email.
- Anthropic: aI parsing and drafting (Claude models).
- Google Maps Platform: address lookup, geocoding and maps.
- Sentry: error monitoring.
- PostHog: product analytics.
If you connect your own distributor or Stripe account, data is exchanged with that provider at your direction.
Retention
We keep account and customer data for as long as your account is active. When an account is deleted, data is held for 30 days and then removed from active systems. Backups are retained for 30 days. We keep billing records for as long as tax and accounting law requires.
Security
We describe our safeguards on the security page. No system is perfectly secure. If we learn of a breach affecting your data, we will notify you without undue delay.
Your choices and rights
- You can view, correct and export your data from within the product.
- Depending on where you live, you may have rights to access, correct, delete or receive a copy of your personal information, and to object to certain uses. Write to privacy@rndwn.app and we will respond within the time the law requires.
- We will not treat you differently for exercising these rights.
Children
Rundown is a business tool and is not directed to children under 16. We do not knowingly collect their information.
Where data is processed
We and our service providers process data in the United States. If you use Rundown from elsewhere, your information will be transferred to and processed in the United States.
Changes
We will post updates here and change the date at the top. If a change is material we will notify account owners by email.
